Discuss every client once a day

An example, not a client story.

The Client Ownership Huddle is a short daily meeting Ivanka Menken sets up inside Letting-Go Mentoring, a 6-month 1:1 programme at AUD $1,500 per month ex GST. If you are the only person who knows where every client stands, the huddle moves that knowledge into the room. Every client is discussed once a day, each next action gets one named owner, and one rule decides what still comes to you.

The Client Ownership Huddle is a tool inside the programme, not a separate product.

A 20-person service firm, every client, once a day

  • Client AAccount lead
  • Client BProject lead
  • Client CAccount lead
  • Client DDelivery lead
  • Client EFounder, by the rule

THE RULE

“If it is not on the escalation list, the owner decides.”

An example, not a client result. Your clients, owners and rule will differ.

Everyone talks about the clients. You still decide.

  1. 01You are the only person who knows where every client stands.
  2. 02The team asks you about clients in side messages all day.
  3. 03Client meetings happen, and the next action still waits for you.

A 20-person service firm. The team talks about clients every morning, so everyone knows what is happening. Then the questions start: should we send this, can we agree to that, what do I tell them. Each one arrives as a side message to the founder, because nobody in the meeting was asked to own the next step.

  • Client status: known by the founder
  • Next action: discussed, not owned
  • Escalation: every question goes to the founder
  • Handover record: none

An example, before the huddle. Your clients and your team are yours.

Visibility without ownership is theatre

The founder in the example had already tried the obvious fixes: another meeting, longer updates, quicker answers to every side message. Each one made the founder better informed and kept the founder as the person who decides. The meetings were not the problem. Nobody left them owning anything.

Ivanka looks for who acts after the meeting ends. If the answer is still the founder, the team has visibility and the founder has the work. A daily huddle only moves the load when each client has one named owner and a written rule says which questions still reach the founder.

A client discussed every day is not a client owned. Ownership is the name next to the next action.

Staying stuck means every client question still lands on the founder's desk, and adding meetings adds hours without moving a single decision.

Put a name next to every next action

The Client Ownership Huddle puts the agenda, the owner of each client, the escalation rule and a 14-day handover test on one page, so the daily meeting ends with names, not notes.

Client Ownership HuddleAn example daily client huddle. Five clients are listed once a day, each with its next action and one named owner: an account lead, a project lead or a delivery lead. Only one row, a contract change, goes to the founder, because the escalation rule says price and contract changes and clients at risk of leaving still reach the founder. Client Ownership Huddle · a framework by Ivanka Menken

What it is

It is a one-page operating rule for a short daily meeting, not a reporting template. Each client gets one line: status, next action and the person who owns it. Anything that crosses the escalation rule is raised in the huddle, not in a side message.

What it replaces

It replaces the status meeting where everyone hears everything and nobody owns anything, the extra update requests, and the stream of side messages that make the founder the real client manager.

It sits inside Letting-Go Mentoring, beside the step-out log and the commitments-kept count on the monthly scorecard. One handover each fortnight is the programme's rhythm. No separate checkout.

  • 01Agenda: every client, once a day, in the same order
  • 02Owner map: one named owner for each client's next action
  • 03Escalation rule: what still comes to the founder, and when
  • 04Side messages: client questions go to the huddle or the owner
  • 0514-day handover test: the owner holds it with no founder override

Map the clients, then name the owners

In the example, Ivanka and the founder put the client list on the table. Which clients need a daily look? Who owns each next action? What does the founder still answer? They write the one-page huddle: the agenda, the owner map, the escalation rule and a 14-day handover test for one group of clients. Before the next session, the founder runs the huddle daily and stops answering side messages about those clients. Anything that came back becomes the next session.

THE HUDDLE PAGE, FILLED IN

Every client, same order, each morning (example).
Owner map
One name against each client’s next action.
Escalation rule
Price or contract changes, and a client at risk of leaving.
Side messages

An example. The clients, owners and rule are yours.

  1. 1The one thingThe clients only the founder can speak for.
  2. 2The numbersHow many clients, how many owners, how many side messages.
  3. 3The storyWhy every client question still ends up with the founder.
  4. 4The commitmentRun the huddle daily and hold one handover for 14 days.
  • Which clients need a daily look, and which do not?
  • Who owns the next action for each one?
  • Which client questions do you still answer, and why?
  • What is the one rule that sends a question to you?
  • What will you do when a side message arrives anyway?

Before the next session, the founder brings back the huddle record: which owners held, which side messages arrived, and which questions crossed the escalation rule.

A huddle that ends with names

By month 6, the daily huddle runs without the founder carrying it.

NOW

  • The founder is the only one who knows every client.
  • Meetings end with updates, not owners.
  • Side messages carry the real decisions.
  • Nothing records what was handed over.

BY MONTH 6

  • A daily client huddle that runs on time.
  • A named owner for each client action.
  • An escalation rule the team uses without asking.
  • A 14-day handover record for each group of clients.

The container: 12 fortnightly 60-minute sessions, one handover each fortnight, a monthly scorecard, reviews at month 3 and month 6.

In the example, every client has a named owner. The founder stops answering side messages about those clients, and the questions that still come back are no longer interruptions: they become the agenda for the next session. Illustrative, not a client result.

The handover is held, not hoped for

Ivanka Menken built Letting-Go Mentoring for founders of $500K to $3M businesses who became the bottleneck. She asks the hard question and holds you to the handover you write down.

The Client Ownership Huddle is one of the tools inside that work. It does not replace your client managers or your CRM. It makes the owner of each client visible every day, and it shows you what still comes back.

“Ivanka is a no fuss, to the point advisor who doesn’t shy away from the tough questions and challenges you on your excuses.”

Business owner

Who fits, and who does not

It fits

  • You run a $500K to $3M business and every client question reaches you.
  • Your team talks about clients and still waits for your decision.
  • You will stop answering side messages for 14 days.
  • You want one handover a fortnight, written down and checked.

It does not fit

  • You want open-ended coaching with no handover to test.
  • You want a done-for-you fix or someone to run the meeting for you.
  • You want to stay the person every client calls.
  • You are not ready to name an owner for each client.

Questions about the Client Ownership Huddle

Is the Client Ownership Huddle right for my team?

It fits when your team already talks about clients and still brings the decisions to you. Ivanka Menken uses it inside Letting-Go Mentoring to give every client a named owner and one escalation rule. If nobody talks about clients at all, start with the client list. The programme runs 6 months at AUD $1,500 per month ex GST, and the huddle has no separate checkout.

What happens in the work?

Ivanka Menken maps your client list with you, asks who owns each next action and what you still answer, and you write the one-page huddle: agenda, owner map, escalation rule and a 14-day handover test. You run it daily before the next session. It is part of Letting-Go Mentoring, 6 months at AUD $1,500 per month ex GST.

What changes by month 6?

The daily huddle runs without you carrying it, each client action has a named owner, and the escalation rule decides what reaches you. In Letting-Go Mentoring, Ivanka Menken checks each 14-day handover and turns anything that came back into the next session. The programme is 12 fortnightly sessions over 6 months at AUD $1,500 per month ex GST.

What is not included?

Ivanka Menken does not run your huddle, manage your clients or set up software for you, and this is not open-ended coaching. You run the meeting and hold the handovers; she designs the rule with you and holds you to it. Letting-Go Mentoring runs 6 months at AUD $1,500 per month ex GST.

Give every client an owner who is not you

If your team talks about every client and still waits for your answer, start with Letting-Go Mentoring. The Client Ownership Huddle is inside it, and the 20-minute intro call is where you can see whether it fits.
